Step by step

    Announce and record

    Say the meeting is recorded at the start. With tl;dv, the note taker joins the call; with Buzz, record the room audio on your computer, nothing goes online.

    Get the transcript

    Export the transcript as plain text. Read the first five lines: if participant names are misrecognised, fix them once, the rest will be more reliable.

    Ask for the summary

    Paste the transcript into Claude with the prompt below. Ask for three separate blocks: decisions, actions, open points. A single mixed block is unusable.

    Review before sending

    Check each action against your own memory of the meeting. An action with no owner or no date will not happen: complete it.

    Send

    Send the summary within the hour. Later than that, people have moved on and challenge less what they have not reread.

Do not invent any information absent from the transcript. Maximum length: one page.

Check by hand before using it

  • Every action has an owner and a date, or the mention “to be confirmed”.
  • No decision in the summary is absent from the transcript (search for it with Ctrl+F).
  • Quoted figures (amounts, dates, deadlines) match the transcript, not rounded versions.

Your data: precautions

  • !Consent to recording is asked at every meeting, not once and for all.
  • !An HR, legal or NDA-covered client meeting is transcribed locally (Buzz), not with a vendor.
  • !Delete the source recording once the summary is approved: the transcript alone is enough.
